The questions our dealers, integrators and OEM partners actually ask — how an order runs, what the lead times really are, how customs and freight work, and what happens when a part fails. If your question is not here, ask us directly.

Ordering
What happens between accepting a quote and the screen arriving.
How do I get started with ordering an LED video wall? What are the steps?
- Review and accept the quote. Check every specification, parameter and cost — in particular that the controller and the spare parts you want are included in the line items.
- Sign off on the shop drawing. On any customized product this is what confirms the dimensions, and production does not start until it is signed.
- Pay the deposit. Standard terms are 50% deposit and 50% before shipping. Wire details are issued with the invoice.
- Production, testing, packing and acceptance. Includes a final burn‑in of roughly three days, with photographs on request, followed by factory acceptance.
- Pay the balance. The remaining 50%, before the shipment releases.
- Logistics planning, then shipping. Ocean or air, plus customs clearance at the destination.
- Accept the shipment and sign off on the warranty and the industry best‑practice acknowledgement.
What are the lead times?
- Custom manufacturing: 4–5 weeks. The clock starts when the shop drawing is signed, not when the order is placed.
- Ocean freight: 3–4 weeks. Air freight: 7–10 days — allow up to 14 if a Chinese public holiday falls inside the window.
- Local customs clearance: about 3 days from the shipment reaching the port.
- Stock Plug‑and‑Play systems ship from Las Vegas with no factory lead time — 2–3 days for packing and final inspection.
Your quote carries the build time for your specific system, and that number is the one that governs. Where the quote and this page differ, the quote is right.
For context, a factory order for a custom LED display from China typically runs 8–12 weeks across the industry. A HOLODECK LED™ build of 4–5 weeks plus ocean freight sits inside that envelope.
Does the quote include the mounting structure?
Not unless it is specifically listed as a line item. We can design the mounting hardware and produce shop drawings for it when the time comes — it is quoted separately.
If I order a lot more panels later, can I get them from the same batch?
We cannot guarantee an identical batch, because the binning is controlled by the upstream diode supplier rather than by us. What we can do is request the closest available bin — and the larger the order, the closer we can get — then run a secondary calibration across the two batches so the screens are near‑identical in practice.
Shipping, customs and delivery
Who moves the freight, who clears it, and where our responsibility ends.
Who handles customs clearance?
- United States — coordinated by HOLODECK LED™. Our customs broker normally completes the process in about three days from the shipment arriving at the port. The shipment is then available for pick‑up at the port, or we can help coordinate last‑leg delivery on request.
- Europe, the Middle East, Africa and Asia — the client appoints a local customs broker and shipping partner for the last leg.
Handling the freight from the Shenzhen port to the US port city on the customer’s behalf is something we do routinely, and it is included in the service rather than sold as an extra.
Where exactly do you deliver to?
Standard delivery is to the nearest airport or ocean port specified by the dealer. Pick‑up from there and delivery to the end client’s destination is the dealer’s responsibility, unless we agree specific alternate arrangements in writing.
Stock systems ship FOB Las Vegas — domestic freight, no import duty and no ocean transit. Custom builds ship FOB Shenzhen.
Where do I track a vessel named on the bill of lading?
Any of the public vessel‑tracking services will find it from the vessel name or the IMO number on the bill of lading. We can also pull the position for you if you send us the document.
What if parts arrive damaged?
Document the damage with photographs at the point of delivery, before anything is unpacked further, and send them to us. Damage caused in transit is repaired or replaced on that evidence. Any additional parts beyond what the damage record supports are chargeable.
Installation
Who installs the wall, and what support you get while it happens.
Who performs the installation?
Installation is assumed to be handled by the dealer or integrator ordering the system for the client. The screen can be mounted to suit the specific site, and the installation plan is produced and configured as a drawing before the wall is delivered.
We provide technical guidance remotely at no cost. For a dealer’s first installation we will send a technician on site once the dealer agrees to cover that technician’s travel — airfare and hotel.
Can fly bars be used as ground support?
Yes. Fly bars flip over and serve as a ground support beam. The eye bolts come out by turning counter‑clockwise.
How are flight cases calculated on touring product?
Flight cases most commonly carry eight panels. Six‑ and four‑panel cases are also available where the load‑in or the truck pack calls for them.
Warranty, support and returns
The short version. The warranty page carries the full terms, the plan tiers and what each one includes.
What does the warranty cover, and for how long?
Every display is warranted against defects in materials and workmanship for two years from the Date of Activation — the day the system is first installed and actually operated, not the day it leaves the factory. The cover transfers with the product, so buying through a dealer, integrator or OEM partner does not limit it.
It covers replacement parts and in‑house labor on LED modules, receiving cards, power supplies, hubs and cabinets, along with firmware and configuration faults in the delivered system. It does not cover misuse, accident, liquid ingress, power surge, lightning, unauthorized repair, or on‑site labor and freight unless those are separately contracted.

What support is included, and can I extend the warranty?
Silver support is included free for the life of the product — email and remote‑desktop support with a 48‑hour response, with no expiry.
Gold and Platinum are paid upgrades that add priority handling, advance replacement of covered parts and, on Platinum, next‑business‑day dispatch and a named engineer on your account. Platinum is available on custom and bespoke systems.
Both paid plans also lengthen the warranty: every year of Gold or Platinum adds a year of warranty, to a five‑year total from the Date of Activation. Additional warranty years can also be bought on their own, to the same five‑year maximum, if you want the term without the service plan.
How do I raise a warranty claim or an RMA?
Contact us with the project name, the system serial or quote number, and a description of what the fault is doing. Photographs or a short video of the fault condition speed up diagnosis considerably — a still of the affected area plus a clip of it in operation is usually enough for us to identify the part.
Who pays the shipping on an RMA?
Each party covers one leg. You pay the shipping to our service depot and any duties associated with it; we pay the shipping back to you.
Content and media playback
What to author, at what resolution, and how it reaches the wall.
What format and resolution should content be?
Produce and export as AVI or MP4. Author the video at the pixel count of the screen, in an aspect ratio that matches that pixel count. Other Windows graphic formats are supported by the player software.
Content does not need to exceed the pixel resolution of the wall, and pushing higher‑resolution content at it makes no visible difference. Every project has a custom pixel count, and the perceived picture quality is set by the content itself and by the viewing distance far more than by source resolution.
How does content get to the screen, and can one player drive several sections?
The media player included in a quote is a Wi‑Fi‑enabled device, hard‑wired to the display panels. Playlists are controlled from an app on your tablet or phone over the same network, and content can be streamed straight from a computer or media player at your location.
Each media player handles up to 2.5 million pixels, so a single unit is normally more than enough to drive several linked sections rather than needing one player per section.
A cloud server option exists, and it is worth it in a multi‑site or multi‑store configuration. For a single venue it is not necessary.

Do you source displays, or design and manufacture them?
We are primarily a design firm, and the majority of our work is custom design rather than catalog resale. We work with LED pick‑and‑placement partners who also build for some of the largest brands in the world, and we invest continuously in product development.
Where a product falls outside our own competency we outsource it to vetted partners and run a strict factory acceptance test at the end of production rather than accepting it on the partner’s word. We also do OEM white‑label work for several well‑known names in the industry, which is why some of our engineering shows up under other brands.
Do you have a dealer or partner program?
Yes. Dealers and integrators buy at partner pricing, with engineering support, shop drawings, white‑label spec sheets and deal registration. The terms, the qualification thresholds and the deal‑registration policy are on the partners page.
